Manage Candidates Through the ATS

The Applicant Tracking System (ATS) allows you to manage the progress of a job application from initial application (designated “In activity”) to the eventual end states which are usually either “Hired” or “Rejected”. Keeping track of a candidate’s progress by moving them into the correct ATS states will allow you to effectively filter the candidate pool as the candidate evaluation process takes place. Candidates can be moved two-ways between states if required.

The ATS states and criteria for each are as follows:

  • In Activity – candidates who have registered for the job but have not completed the assessment set.
  • Completed – candidates who have completed the assessment set but have not been manually or automatically moved into another state.
  • Passed – candidates who have been manually moved to passed, or candidates who have automatically been moved having met the Passed threshold.
  • On Hold – candidates who have been manually moved to On Hold for future review, or candidates who have automatically been moved having not met either Passed or Rejected threshold.
  • To Interview – candidates who have been manually moved for holding prior to a subsequent interview.
  • Offer Made – candidates who have been manually moved for whom an offer has been made.
  • Hired – candidates who have been manually moved who have been confirmed hired by the organisation.
  • Rejected – candidates who have been manually moved to rejected, or candidates who have automatically been moved having not exceed the Rejected threshold.

Please Note: Each state can have custom, automatic communication settings. For example, a candidate moved to Rejected state may receive a rejection email.

Prerequisites:

To complete this process:

  • You must have “Read access” granted to your account for the Users > Hiring > Jobs permission (available to Administrators or above)

OR

  • If assigned to a specific job, you must have “Read access” granted for the Users > Hiring > Assigned jobs permission (available to Administrators and above).

AND

  • You must have “Full access” granted to your account for the Users > Hiring > Candidate talentpool permission (available to Administrators or above)

OR

  • If assigned to a specific job, you must have “Full access” granted for the Users > Hiring > Assigned candidates permission (available to Administrators and above).

How to complete this flow:

  1. Click on the name on the required job tile.
  2. Click the named tab of the job activity phase you want to view.
  3. Click on the ATS state that contains candidates you want to manage.

Within the state you have two methods to move candidates.

To move multiple candidates:
  1. Click the check box of each candidate you want to move.
  2. Open the “With selected” dropdown at the bottom of the page.
  3. Select the ATS state you want to move the candidates to. All selected candidates will be moved to the specified ATS state.
To move a single candidate:
  1. Click the 3-ellipsis for the required candidate to open a list of state movement options.
  2. Select the desired state to move a candidate too. The selected candidate will be moved to the specified ATS state.
