Set Up and Edit Job Phases

Each job is made up of at least one job phase. Job phases allow you to configure the activities a candidate must complete whilst applying. The four different types of job phase provide for greater breadth and depth of candidate evaluation, as well as a more tailored candidate experience. Additionally, you can configure which bookends you want the candidate to complete at the start and end of the each job phase.

There are 4 types of phases, as follows:

  • Attribute Assessment Phase Evaluate candidates against a selected profiler using our gamified assessments.
  • Video Assessment Phase Present candidates with questions that they can record video answers to.
  • Screening Questions Phase – Ask candidates screening questions, with optional filtering based on their answers.
  • Report Assessment Phase – Have candidates complete a personality test to generate a personality report.

Please Note: At least one phase must be configured to save a job and make it active.

Prerequisites:

To use this flow:

  • You must have “Full access” granted to your account for the Users > Hiring > Jobs permission (available to Administrators or above)
    OR
  • If assigned to a specific job, you must have “Full access” granted for the Users > Hiring > Assigned jobs permission (available to Administrators or above).
  • You must have at least one job created in your organisation
  • No applications have been made for the job

How to complete this flow:

To navigate to the Phase setup area:

  1. In the navigation panel, go to Recruitment > Jobs
  2. Click on the job name
  3. Click on the “Phase setup” tab to open the job activity editor

To configure an Attribute Assessment phase:

  1. Click the blue “Add phase” button.
  2. Enter the name of the phase in the “Title” box. This will be shown to candidates before they begin the activity set.
  3. Select “Attribute Assessment” from the dropdown menu and click “Submit”.
  4. To add assessments, click on the green “Select a benchmark” button and select the profiler you would like to assess candidates again.
    • Alternatively, you can make a new profiler on this page using the “Create a new benchmark” button.
  5. After you select a benchmark, the main activity set will automatically populate with the activities required to generate a score for that benchmark.
    • Some assessments have a “Swap” dropdown menu that allows you to select an alternative version of the assessment to assess that attribute. For example, there are 4 options to test Expression Recognition.
  6. To add a Start or End bookend click on the “Add” button in the required phase to open a drop down list.
  7. Select a bookend from the list to add it to the relevant phase.
    • Optionally, you can customise the content of each bookend by clicking the “Settings” button on the relevant bookend tile, once added to a phase.
  8. If this is the final phase in your job or you don’t have automatic progression enabled, configure the ‘Activity Complete’ bookend under the ‘Activity Complete’ section with your desired title, main text and call to action.
  9. If this is not the final phase in your job and you have automatic progression enabled, configure the ‘Activity Complete – Next Phase’ bookend under the ‘Activity Complete section with your desired title and main text.
  10. Then, click the blue ‘Save phase’ button on the top right side of the Phase Setup tab.

To configure a Video Assessment phase:

  1. Click the blue “Add phase” button.
  2. Enter the name of the phase in the “Title” box. This will be shown to candidates before they begin the activity set.
  3. Select “Video Assessment” from the dropdown menu and click “Submit”.
  4. To add a Start or End bookend click on the “Add” button in the required phase to open a drop down list.
  5. Select a bookend from the list to add it to the relevant phase.
    • Optionally, you can customise the content of each bookend by clicking the “Settings” button on the relevant bookend tile, once added to a phase.
  6. To add a video question, click on the “Add” button at the bottom of the “Main Question Set” section.
  7. Enter your question into the text box.
  8. Then configure your settings for that question:
    • Enabling “No retry” will prevent candidates from being able to re-record their video answer.
    • Enabling “Record entire duration” will start a recording as soon as candidates arrive to that question’s page, before they click start.
    • “Max. duration (seconds)” is the maximum length of time, in seconds, a candidate’s video can be.
    • “Auto-start in (seconds)” will automatically begin the video recording after a given number of seconds.
  9. Optionally, you can randomise videos using the checkbox on the right-hand side at the bottom of the “Main Question Set” section. This will provide a given number of questions in a random order to candidates.
    • Short Text allows candidates to enter a short text-based answer.
    • Long Text allows candidates to enter a long text-based answer.
    • Checkbox allows candidates to tick a single box to answer a question.
    • Radio allows candidates to tick one or more boxes to answer a question.
    • Enter the number of questions you would like the candidate to complete by entering a number, up to the maximum number of questions, in the “Number of randomised questions” box below the “randomise videos” checkbox.
  10. You can delete a video question using the small red “x” button at the top right corner of that question’s row.
    • Optionally, you can delete all questions using the red “Clear all” button at the bottom of the “Main Question Set” section.
  11. If this is the final phase in your job or you don’t have automatic progression enabled, configure the ‘Activity Complete’ bookend under the ‘Activity Complete’ section with your desired title, main text and call to action.
  12. If this is not the final phase in your job and you have automatic progression enabled, configure the ‘Activity Complete – Next Phase’ bookend under the ‘Activity Complete section with your desired title and main text.
  13. Then, click the blue ‘Save phase’ button on the top right side of the Phase Setup tab.

To configure a Screening Questions phase:

  1. Click the blue “Add phase” button.
  2. Enter the name of the phase in the “Title” box. This will be shown to candidates before they begin the activity set.
  3. Select “Screening Questions” from the dropdown menu and click “Submit”.
  4. To add a Start or End bookend click on the “Add” button in the required phase to open a drop down list.
  5. Select a bookend from the list to add it to the relevant phase.
    • Optionally, you can customise the content of each bookend by clicking the “Settings” button on the relevant bookend tile, once added to a phase.
  6. To add a question, click on the “Add question” button in the Screening questions section to open a dialog with question options.
  7. Enter your text into the ‘Question’ box.
  8. Then, select the ‘Question type’.
    • Short Text allows candidates to enter a short text-based answer.
    • Long Text allows candidates to enter a long text-based answer.
    • Checkbox allows candidates to tick a single box to answer a question.
    • Radio allows candidates to tick one or more boxes to answer a question.
    • Yes/No allows candidates to select ‘Yes’ or ‘No’ to answer a question.
    • Dropdown allows candidates to select an answer from a dropdown list.
  9. Radio and Dropdown questions require you to input answer options.
    • Enter the answer text under the ‘Option’ column. Each row is its own answer.
    • Remove an option by clicking the red ‘x’ button on the right side of each row.
    • Add an option by clicking the green ‘+’ button below the option list.
  10. Radio, Yes/No and Dropdown provide you the option to add ‘Accepted’ answers.
    • If auto-processing is enabled, candidates who select accepted answers will pass and candidates who select answers that aren’t accepted will fail.
  11. If this is the final phase in your job or you don’t have automatic progression enabled, configure the ‘Activity Complete’ bookend under the ‘Activity Complete’ section with your desired title, main text and call to action.
  12. If this is not the final phase in your job and you have automatic progression enabled, configure the ‘Activity Complete – Next Phase’ bookend under the ‘Activity Complete section with your desired title and main text.
  13. Then, click the blue ‘Save phase’ button on the top right side of the Phase Setup tab.

To configure a Report Assessment phase:

  1. Click the blue “Add phase” button.
  2. Enter the name of the phase in the “Title” box. This will be shown to candidates before they begin the activity set.
  3. Select “Report Assessment” from the dropdown menu and click “Submit”.
  4. To add a personality assessment, click the green “Select Report(s)” dropdown button and select “Personality”.
  5. To add a Start or End bookend click on the “Add” button in the required phase to open a drop down list
  6. Select a bookend from the list to add it to the relevant phase
    • Optionally, you can customise the content of each bookend by clicking the “Settings” button on the relevant bookend tile, once added to a phase.
  7. A personality assessment will automatically populate in the “Main Activity Set” section.
  8. You can change the personality assessment using the “Swap” dropdown and selecting the report you want to want candidates to generate.
  9. If this is the final phase in your job or you don’t have automatic progression enabled, configure the ‘Activity Complete’ bookend under the ‘Activity Complete’ section with your desired title, main text and call to action.
  10. If this is not the final phase in your job and you have automatic progression enabled, configure the ‘Activity Complete – Next Phase’ bookend under the ‘Activity Complete section with your desired title and main text.
  11. Then, click the blue ‘Save phase’ button on the top right side of the Phase Setup tab.
